Privacy policy
Last updated 10 October 2026
This policy explains how Epos Infinity Ltd ("Epos Infinity", "we", "us") collects and uses personal information through this website and the Novusoft Pro products we supply to restaurants and takeaways.
1. Who we are
Epos Infinity Ltd is a company registered in England & Wales (company no. 12127070), with its registered office at Bartle House, 9 Oxford Court, Manchester, M2 3WQ. We make Novusoft Pro: EPOS and tablet tills, online ordering websites, branded ordering apps, self-service kiosks, QR table ordering and the Novusoft Manager app.
For any question about this policy or your information, email [email protected] or write to us at the address above.
2. Our role
As a controller. We decide how to use the information of people who contact us, ask for a demo, become our customers or visit this website.
As a processor. When a diner orders from a restaurant that uses Novusoft Pro (through its website, app, kiosk, till, or a delivery platform connected to it), the restaurant is the controller of that diner's information and we process it on the restaurant's behalf, under our agreement with them. Diners should read the restaurant's own privacy policy and contact the restaurant first about their information; we will help the restaurant answer any request.
3. What we collect
Enquiries and demo requests
Your name, business name, email address, phone number, postcode, type of business, the products you're interested in and anything you write in your message.
Restaurant customers
The names and contact details of owners, managers and staff; billing and invoicing details; the business's menu, settings and sales records; staff sign-in details; and records of support calls and emails. We may record support calls for training and quality.
Diners (on behalf of restaurants)
Name, phone number, email address, delivery addresses, order contents and history, payment status (we do not store full card numbers; card payments are handled by the restaurant's payment provider), marketing preferences, loyalty points, reviews and, in the apps, a device token for push notifications.
This website
Our web server keeps standard access logs (IP address, pages requested, browser type and time) for security and troubleshooting. This website sets no cookies and uses no analytics or advertising trackers. See our cookies notice.
4. Delivery platform orders (Uber Eats and Deliveroo)
Restaurants can connect their Uber Eats and Deliveroo stores to Novusoft Pro so that platform orders arrive on their till. When a restaurant connects a store, we receive from the platform, for each order:
- the customer's first name (or the name shown on the order);
- a contact phone number, which is usually a masked or proxy number provided by the platform;
- the delivery address and delivery instructions, where the restaurant delivers;
- the order contents, special instructions, prices and order status; and
- the store and order identifiers needed to accept the order and send status updates back.
We use this information only to show, print and fulfil the order for the restaurant, to send order status back to the platform, and to include the order in the restaurant's own sales reports. We do not use it for our own marketing, do not sell it, and do not add platform customers to the restaurant's marketing lists. The restaurant can disconnect a store at any time, after which we receive no new orders from it. Platform order data is kept for as long as the restaurant's other order records (section 7).
5. How we use it, and our lawful basis
- To answer your enquiry and arrange a demo: our legitimate interest in responding to people who contact us, and steps you ask us to take before entering a contract.
- To provide, support and bill for Novusoft Pro: performance of our contract with the restaurant.
- To process diners' orders: on the restaurant's instructions, as its processor.
- To keep our services secure and working, including preventing fraud and abuse: our legitimate interests.
- To meet legal obligations, such as keeping tax and accounting records.
We will only send you marketing about our own products if you are a business customer or have asked us to, and you can opt out at any time.
6. Who we share it with
We use trusted suppliers to run our services, under contracts that require them to protect the information and use it only on our instructions:
- Amazon Web Services (hosting and databases in the UK, and email sending);
- Cloudflare (website delivery and security);
- payment providers chosen by each restaurant (such as Stripe and Ryft), which process card payments as independent controllers;
- SMS, email and push notification providers (including Apple and Google) to deliver order updates and the restaurant's campaigns;
- Google Maps, to look up addresses and calculate delivery distances;
- Telegram, when a restaurant chooses to receive order notifications there, and for internal notifications of new enquiries to our team;
- Uber Eats and Deliveroo, to send order status back to them when a restaurant has connected its store.
We may also share information if required by law, or with a buyer if our business is sold. We never sell personal information. Some suppliers may process information outside the UK; where they do, we rely on UK adequacy regulations or the UK International Data Transfer Agreement or Addendum.
7. How long we keep it
- Enquiries that do not lead to a contract: up to 24 months after our last contact.
- Customer account and billing records: for the life of the contract, then six years for tax and legal purposes.
- Diners' order records: as long as the restaurant keeps its account with us, unless the restaurant asks us to delete them sooner; then deleted or anonymised.
- Web server logs: up to 90 days.
8. Your rights
You have the right to access your information, to have it corrected or erased, to restrict or object to its use, to data portability, and to withdraw any consent you have given. To use any of these rights, email [email protected]. If your information was collected by a restaurant, we will pass your request to them.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.
9. Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed, and we will tell our customers about significant changes.
